
An out-of-class pass policy sets the routine for leaving a lesson, recording the departure, confirming the return and following up when something needs attention. It also tells staff how to handle individual arrangements and who may use the resulting records. The same policy can guide a paper sign-out process or a teacher-led digital hall pass system.

What an out-of-class pass policy should cover
Purpose and scope
Name the problem the routine should address: inconsistent sign-outs, forgotten return entries or difficulty finding a record for follow-up. Specify the year levels, campuses and lesson times covered. Primary, secondary and P–12 settings may need different accompaniment arrangements and ways for students to ask for help.
Departure and return
Write a sequence that a relief teacher can follow: the student asks, staff consider the request and any individual arrangement, the departure is recorded, and the student reports their return. Name who closes the record if the student returns to another room or the original teacher is unavailable. Keep official attendance marking in the school's existing attendance process.
Destinations and overdue follow-up
List the destinations staff can record, such as the bathroom, office, sick bay, library or an agreed support space. Set local follow-up procedures using the campus layout, the purpose of the visit and individual arrangements. A universal five-minute rule is not a substitute for that review. Explain who takes action on an extended absence and how they contact the relevant staff member.
Distinguish a reminder, an automatically closed pass and a staff-confirmed return. Vero marks a pass closed at the configured school time limit as auto-ended. Individual arrangements and urgent needs
Identify how authorised staff find the student's agreed adjustments without placing sensitive details in a general pass log. Provide a discreet way to request help and a clear route for urgent needs. Review the routine with the people responsible for student support and with students and families where appropriate.

Record access and retention
Specify what the record is for, the minimum information needed, who may see it and how long the school keeps it. A selected destination and an open duration provide context; they do not verify physical whereabouts, diagnose a wellbeing need or prove misconduct. Define how authorised staff check other information before using a record in follow-up, and who handles correction or access requests.
Outages and policy review
Give staff a usable backup routine when a device, connection or system is unavailable. Include departure, return and follow-up responsibilities during the outage and say what happens to temporary records afterwards. Choose a policy owner and review date, then test the routine before a wider rollout.

Test the policy with four school-day scenarios
- A normal departure and return. Ask a teacher to follow the written steps and retrieve the completed record.
- A return to another room. Check who confirms the return and how the original staff member can review it.
- An individual arrangement or urgent need. Check that the response is discreet and that the general log contains only the information needed for its purpose.
- A forgotten entry or unavailable device. Test overdue follow-up and the backup routine. Do not treat automatic closure as proof of a return.
