A student needs to leave class. Here's what happens.

Vero is a digital hall pass system for Australian schools. Follow the full journey — from the moment a teacher creates a pass to the record it leaves behind on admin's desk.

The full journey

Follow one pass through all six stages — created by a teacher, visible to authorised staff, and recorded for school follow-up.

1Teacher View

Student asks to leave. Teacher opens Vero.

A student needs the bathroom. The teacher picks up their laptop, tablet, or phone, opens Vero, and searches for the student's name. One click.

With Connected, approved student, class and timetable data syncs through Wonde. Core schools manage student data manually.

2Teacher View

Choose a destination and confirm

Bathroom, front office, nurse, another classroom — tap the destination and the pass record opens. The timer starts automatically.

Your school configures the available destinations. If a staff-defined separation rule applies, Vero warns the teacher that another group member has an active pass before the teacher decides to wait or override.

3Open record

The pass appears in the shared open-pass register

Authorised staff can review the open record — student name, selected destination, elapsed time and approving teacher. Vero does not use GPS or claim the student's physical location.

  • Configurable overdue alerts based on school-set thresholds
  • Teacher can end the pass when the student returns
  • Pass history recorded automatically
4Admin View

Authorised staff review open passes

Authorised staff can review open pass records across the school: student name, year level, expected destination and elapsed time.

During a drill or emergency, the open-pass list can support the school's established response procedures. It shows staff-created records, not verified physical locations.

5Return

The student returns. Staff close the pass.

Tap Return on the active student card to close the pass. Its recorded duration stays in the history, so authorised staff can review the departure and end record later.

A pass closed automatically at your school's time limit is marked auto-ended. That status does not confirm the student returned; staff still follow the school's overdue and supervision procedures.

6Reporting

Completed Vero records, when authorised staff need them

Teacher-created passes build a searchable record. In Insights, authorised staff can review pass frequency, active duration and selected destinations over a chosen date range as context for conversations with parents and staff.

  • Movement trends by student, year level, or destination
  • Export authorised pass data as CSV for school reviews and parent meetings
  • Review selected-destination summaries by period or cohort
SIS sync →

How the SIS sync works

Vero Connected uses a one-time, read-only Wonde approval to sync approved student, class and timetable data. Vero Core uses manual student-data management.

What syncs automatically

Student records

Names, year levels, house groups, and enrolment status.

Timetables

Period schedules and class allocations so teachers see their roll automatically.

Class data

Approved class groups and timetable relationships for teacher workflows.

How it stays up to date

Automatic daily sync

Supported student, class and timetable updates sync daily through Wonde after school approval.

Read-only access

Vero does not write back to your SIS. Connected uses the approved read-only student, class and timetable data scopes described during the Wonde approval process.

No ongoing integration maintenance

Your SIS administrator approves the Wonde connection once. Any local allowlisting is completed during setup.

Test the workflow against your school day

Try a normal departure, a return during a busy lesson and a request involving a staff-defined student separation group. Check who can see each record and how a teacher closes a pass. Use the out-of-class pass policy template to agree departure, return and overdue routines before rollout. An open pass records what staff entered; it does not verify a student's physical location.

If you use paper today, compare the two sign-out workflows. Leaders can use the principal's overview to agree a pilot scope, then compare Core and Connected costs. Connected schools can review the approval steps for Compass or SEQTA.

Questions about how Vero works

Does a digital hall pass replace school attendance software?
Vero records authorised out-of-class passes during lessons. Your existing school system remains the source of truth for enrolment, attendance rolls and timetables. A pass shows a staff-recorded destination and open duration; it does not mark attendance or verify physical location. See how Vero works alongside your school system.
How is a Vero pass closed when a student returns?
A staff member taps Return on the student’s active pass card when the student returns. Vero closes the pass and keeps its recorded duration in the history. Passes closed automatically at the school’s time limit are marked auto-ended, which does not confirm a return. Read the return and pass-closing guide.
Do students need a phone or account for a digital pass?
Students do not need a phone, Vero account or app. An authorised staff member creates and closes the pass on a school-approved laptop, tablet or phone. The school can use the teacher-led workflow within its own student-device policy.
How do students get a pass in Vero?
A student asks their teacher, who opens Vero on a laptop, tablet or phone and searches the student’s name from the class roll. The teacher taps a destination — bathroom, front office, nurse or another classroom — and the pass record opens immediately, with the timer starting automatically.
Do teachers need to install anything to use Vero?
No. Vero is web-based and runs in any browser on the devices teachers already have — laptops, tablets, and phones. It works like a native app and can be added to a phone’s home screen, but there is no app store download and no software for IT to install.
How long does it take a teacher to issue a pass?
The workflow is designed to take under five seconds: the teacher searches for the student and taps a destination. With Connected, approved class and timetable data syncs through Wonde; Core schools manage student data manually.
What does the office or admin team see?
The shared open-pass register shows open records across the school, including student name, expected destination and elapsed time. Vero also keeps completed records that authorised staff can organise by year level, house, class, selected destination and time of day.
How does Vero connect to our student information system?
Vero Connected uses a one-time, read-only Wonde approval from the school’s SIS administrator. Approved student, class and timetable data then syncs automatically, and Vero does not write back to the SIS. Vero Core uses manual student-data management instead.
